Privacy policy

1. Who is responsible for your data?

Pauline Bos, NIP registered psychologist, based at Sarphatistraat 14 in Amsterdam city centre, is responsible for the processing of personal data as described in this privacy policy.

2. Which data is collected?

Depending on how you are in contact with the practice, the following data may be processed:

  • Contact details: name, phone number and email address.
  • Information you provide yourself through the contact form or during an introductory conversation.
  • On registering as a client: file data necessary for careful treatment, in line with the Dutch medical treatment agreement act and the professional code of the NIP.
  • Technical data when using the website, for example when you use the Calendly booking widget.

3. What is your data used for?

Your data is used only to contact you following an enquiry, to plan and carry out an introductory conversation or treatment programme, to keep a careful client file, and to meet legal obligations such as tax retention requirements.

No data is shared with health insurers unless you explicitly ask for it yourself, for example to submit your own reimbursement claim. Working without insurer contracts is a deliberate choice, precisely to protect your privacy as far as possible.

4. Data processing during VR treatment and online EMDR

Part of the programmes uses virtual reality exposure and EMDR treatment at a distance through video software.

  • VR treatment: no personal footage of you is recorded or stored during VR sessions. The virtual environments used are standardised scenarios. Any progress notes are recorded in the secure client file.
  • Online EMDR and video software: sessions at a distance use software that meets applicable GDPR standards, with an encrypted connection. Conversations are not recorded. Please note that with any online connection a limited residual risk to confidentiality remains, so choose a quiet, closed room where possible.
  • No audio or video material from sessions is shared with third parties.

5. This website

This website places no tracking cookies of its own and uses no analytics software that follows your behaviour.

Two external services are used. The contact form sends your message through FormBold. The booking module for the free intro call runs on Calendly, which loads only when you open that page and which processes data according to its own privacy policy.

6. Retention period

Client files are kept in line with the statutory retention period under the Dutch medical treatment agreement act, in principle twenty years after the end of treatment, or longer where necessary.

Contact details from enquiries that do not lead to treatment are deleted after a maximum of two years.

7. Your rights

You have the right to view your data, to have it corrected, or, as far as legally permitted, to have it deleted. You can also object to the processing of your data or file a complaint with the Dutch Data Protection Authority.

8. Security

Appropriate technical and organisational measures are taken to protect your data against loss or unlawful processing, including a secure client file system and encrypted communication channels for online sessions.
